Client Account Analyst

Job Scope:  The Client Account Analyst is primarily responsible for maintaining detailed accuracy of all receipts and disbursements associated with the client accounts held on a custodial basis by SMA Healthcare.  

Essential Job Functions:

  • Understands completely the role and responsibility of SMA as Representative Payee for clients the Agency represents and remains up-to-date on current rules and regulations.
  • Reviews transactions prior to payment for required signatures and appropriateness of amount, and checks balances for available funds.
  • Codes transactions to accounts in electronic record, and enters transactions to accounts payable subsidiary records for appropriate recording.
  • Generates withdrawals for clients authorized to receive payment by their case worker and distributes appropriate cash amounts to clients. 
  • Maintains cash sheet which summaries all cash receipting and cash disbursements on behalf of client.
  • Receives and deposits all checks and/or money orders for individual clients.
  • Records disbursements and deposits on cash sheet and in the appropriate recordkeeping system.
  • Reviews client money draws for integrity, accuracy, and compliance. 
  • Reconciles transactions after any activity.
  • Prepares and distributes Client History Statements for client review.
  • Verifies all previous month's activity has been entered into the recordkeeping system.
  • Assists in preparing for all audits.
  • Maintains Petty Cash. 
  • Communicates with appropriate personnel to confirm information and eligibility.
  • Ensures monetary reimbursement forms are provided in a timely manner.
  • Supplies reports and spreadsheets to SMA personnel at the end of the month in order to reconcile bank statements.
  • Supplies end of the month reports for each client as requested.
  • Consults with clients to review and explain their account status.
  • Closes out clients who are leaving:  Certificate, Account Balance, discharge receipt.
  • Updates or creates e-mails and reports as needed.
  • Updates Procedure Manuals as needed. 
  • Performs related work as required or assigned.

Minimum Education and/or Experience:  Associates degree in accounting or finance related discipline and financial and administrative experience. Equivalencies will be considered.

Knowledge/Skills/and Abilities: 

  • Knowledge of accounts payable, accounts receivable and maintaining general ledger.
  • Ability to maintain accuracy in preparing and entering financial information.
  • Ability to maintain confidentiality concerning financial files. 
  • Ability to establish and maintain effective working relationships with vendors, other employees and the public. 
  • Ability to plan, organize and carry out work as assigned.

Necessary Special Requirements: Possession of a valid Florida driver's license, acceptable driving record, and proof of personal automobile insurance if required to drive an SMA vehicle and/or use a personal vehicle for SMA business. Complete State of Florida mandatory background screening prior to start of employment.  Complete SMA required training during the first six (6) months of employment and updated if required.

Physical: Mobility and ability to bend and reach during an 8-12 hour day. Able to lift minimum 10 pounds. Visual and auditory acuity sufficient to evaluate, intervene, treat, and record client health care needs. Fine motor skills for legible and accurate charting, daily correspondence and presentation, either manually or orally. Work endurance ability to work 8-12 hour shifts with a meal break, as possible. Routine 8-12 hour shifts. Hours and days off may vary. Extra hours may be required. Work assignment locations may vary.
