Essential Job Functions:

  • Responsible for the administrative and day-to-day operations of the psychiatry residency at SMA Healthcare.
  • Has extensive knowledge of ACGME requirements and ensures those requirements are successfully implemented.
  • Ensures effective oversight and management of the program.
  • Serves as a point person and key member of the GME leadership team for the psychiatry residency.
  • Serves as a liaison between Faculty, Residents, GME Leadership, SMA Healthcare, the ACGME, participating sites, and other related internal and/or external programs and organizations.
  • Works independently and in close collaboration with the Program Director and other GME Leadership.
  • Coordinates and schedules all academic, clinical, and departmental activities.
  • Coordinates the resident recruitment, review, interview, and selection processes. Screens candidates, schedules interviews, and assists with the scoring of residents. Develops reports on interviews and scoring of each candidate. Coordinates program and resident match processes.
  • Completes administrative tasks to ensure the program maintains compliance with ACGME requirements.
  • Prepares the program for annual requirements and site visits. Ensures readiness for institutional and program re-accreditation processes.
  • Manages all program documentation, records, and data to ensure compliance with ACGME requirements for accreditation. Ensures all information and data is accurate and up to date in ADS.
  • Manages and updates program handbooks and policies.
  • Monitors changes to ACGME requirements and updates the GME leadership on these changes.
  • Maintains the residency curriculum including competency-based goals and objectives for each assignment and each level of training.
  • Plans, schedules, facilitates, and attends GME/GMEC committee meetings and events. Takes minutes. Prepares the relevant documents or reports for the committees.
  • Facilitates quality improvement projects and other scholarly activities as directed by the Program Director and other GME Faculty.
  • Manages Resident schedules.
  • Develops and maintains the process for monitoring of work hours and prepares a monthly report for the Program Director. Assists Program Director in any issues and relevant documentation related to work hours.
  • Assists the Residents with their needs such as program requirements, personnel management, professional development, accommodations, travel or education/CE requests, requests for leave time, etc.
  • Orders supplies and prepares materials to sustain the resident and program operations.
  • Prepares and maintains program budget. Assists with grant related requirements and information.
  • Coordinates and organizes program related events such as orientation, graduation, conferences, etc.
  • Assists incoming and outgoing residents and transfers with required documents and other needs.
Completes other GME related duties as assigned and/or as required.

Minimum Education and/or Experience: Bachelor's degree in a related field plus minimum of three years of experience strongly preferred in Medical education. Thorough knowledge and understanding of the current ACGME Common Program Requirements, and Institutional Requirements. Experience with and knowledge of budgetary and financial processes. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required. Demonstrated human relations and effective communication skills are also required .

Knowledge/Skills/and Abilities:

  • Must have a demonstrated ability in efficiency and time management to work under pressure in regard to meeting regular, simultaneous deadlines for various individuals, organizations and institutions.
  • Must be detail oriented to consistently ensure program and resident compliance with several regulatory entities.
  • A proven capability to work comfortably with physicians, administrators and other healthcare providers at all levels.
Skill in managing assigned projects related to education and healthcare, such as special programs and events, which require significant multitasking.

Necessary Special Requirements: Possession of a valid Florida driver's license, acceptable driving record, and proof of personal automobile insurance if required to drive an SMA vehicle and/or use a personal vehicle for SMA business. Complete State of Florida mandatory background screening prior to start of employment. Complete SMA required training during the first six (6) months of employment and updated if required.

Physical: Mobility and ability to bend and reach during an 8-12 hour day. Able to lift minimum 50 pounds. Visual and auditory acuity sufficient to evaluate, intervene, treat, and record client health care needs. Fine motor skills for legible and accurate charting, daily correspondence and presentation, either manually or orally. Work endurance ability to work 8-12 hour shifts with a meal break, as possible. Routine 8-12 hour shifts. Hours and days off may vary. Extra hours may be required. Work assignment locations may vary.
