Essential Job Functions:

  • Receives purchase requisitions after approval by Purchasing Manager or Designee.
  • Reviews each document for proper authorizations, support documents and department (Reporting Unit) designations.
  • Research vendors for best quality, pricing and service.
  • Places order with vendor.
  • Follows up with requestor regarding receipt of orders.
  • Handles any problems which may result in non-delivery or back orders, or incorrect/incomplete orders.
  • Takes corrective action when defective goods are received.
  • Ensures delivery of ordered items to appropriate programs.
  • Reconciles the purchasing department credit card transactions by assigning appropriate codes to the bank's website.
  • Processes applicable training / travel arrangements for staff.
  • Assists with administrative tasks related to annual corporate insurance policy renewals.

Minimum Education and/or Experience: Possession of a high school diploma. Two years of experience in purchasing with accounting knowledge; customer service experience preferred, not required. Completed college or related vocational training may be considered on a year-for-year basis for the required experience.

Knowledge/Skills/and Abilities:

  • Knowledge of the purchasing process from obtaining the best possible pricing/service to timely delivery to our internal departments.
  • Knowledge of accounting/bookkeeping/customer service - travel arrangements and liability insurance knowledge preferred.
  • Ability to maintain files on vendors for purchasing goods and services.
  • Ability to maintain, verify, and reconcile records and accounts.
  • Ability to use internet for online ordering, price quotes and vendor comparisons.
  • Ability to use various computer programs, including Microsoft Word and Excel.
  • Ability to prepare clear and concise reports.
  • Ability to communicate effectively, using telephone and email, and maintain effective working relationships with vendors, co-workers and the public.

Necessary Special Requirements: Possession of a valid Florida driver's license, acceptable driving record, and proof of personal automobile insurance if required to drive an SMA vehicle and/or use a personal vehicle for SMA business. Complete State of Florida mandatory background screening prior to start of employment. Complete SMA required training during the first six (6) months of employment and updated if required.

Physical: Mobility and ability to bend and reach during a 6-8-hour day. Able to lift a minimum of 10 pounds. Visual and auditory acuity sufficient to evaluate, intervene, treat, and record client health care needs. Fine motor skills for legible and accurate charting, daily correspondence and presentation, either manually or orally. Work endurance ability to work 6-8 hour shifts with a meal break, as possible. Routine 6-8-hour shifts. Hours and days off may vary.
